Part B — Rental terms

1. The parties, this agreement and key terms

1.1 "We", "us" and "Olympian" mean Olympian Car Rental, whose details are at the top of this agreement. "You" means the main driver named in Part A, who is the renter.

1.2 In this agreement, "check-out" means the moment we hand the car to you at the start of the rental, and "check-in" means the moment you give the car back to us at the end of it.

1.3 We let you use the car in Part A for the period and on the terms of this agreement. The car remains our property at all times.

1.4 This agreement consists of Part A, these terms and your booking confirmation. For the specific details of your rental (car, dates, places, price and cover), Part A prevails.

1.5 This agreement is available in Greek and English. If the two texts differ, the Greek text prevails, except where the English text is more favourable to you.

2. Booking and confirmation

2.1 A booking made on our website with check-out two or more days ahead is confirmed immediately.

2.2 A booking with check-out today or tomorrow is a request. It becomes binding only when we confirm it to you, usually on WhatsApp. If we cannot confirm it, the request lapses and you owe nothing.

2.3 Nothing is paid when you book.

3. Drivers

3.1 Every driver must be at least 19 years old on the check-out date, must have held a valid full driving licence for at least one year, and must show the original licence and a passport or national identity card at check-out.

3.2 If your licence was issued outside the EU/EEA, you must also carry an International Driving Permit, unless Greek law accepts your licence on its own. Please ask us before you travel if you are unsure.

3.3 Each driver who is 19 or 20 years old on the check-out date pays a young driver fee of €10 per rental day. This applies to the main driver and to each extra driver of that age. There is no other charge for adding an extra driver.

3.4 Only the drivers named in Part A may drive the car. Extra drivers must be added and checked by us before they drive. You are responsible for every named driver as if they were you.

3.5 We record the numbers of each driver's licence and passport or ID card. We do not take photos or copies of these documents.

3.6 If a driver does not meet these conditions or cannot show the documents, we may refuse to give you the car. In that case nothing is charged, and the booking is cancelled free of charge, as under section 17.

4. The car at check-out

4.1 At check-out we record with you the registration plate, the odometer reading, the fuel level in eighths of a tank and any existing marks on the car diagram, and we take dated photos of the car.

4.2 Please inspect the car with us and point out any mark that has not been recorded before you drive away. You are welcome to take your own photos. The record made at check-out is the reference for comparing the car at check-in.

4.3 Mileage is unlimited.

5. Check-out and check-in: times, places and fees

5.1 We deliver the car to the check-out place at the agreed time, anywhere on Kos: the airport, the port, your hotel or another address. All times are Kos local time. Any delivery or collection fee is shown in your price before you book and in Part A.

5.2 Check-out and check-in between 07:00 and 23:59 carry no time surcharge. A check-out or check-in at an agreed time between 00:00 and 06:59 carries an out-of-hours fee of €30 each, including 17% VAT. The fee is shown in your price before you book and listed in Part A. If, at your request, we move an agreed time into that period, we tell you the fee before you agree to the change. We do not charge the fee when a delay to your flight is the only reason a check-out falls in that period.

5.3 If you gave us your flight number, we follow your flight and meet you when it lands, at no extra cost. If you travel by ferry or are delayed for another reason, please tell us as soon as you can.

5.4 Return the car at the agreed check-in place and time, with its keys and documents, by handing it to us in person, unless we agree another arrangement in writing. You remain responsible for the car until check-in is complete.

5.5 Rental days are counted as calendar days from the check-out date to the check-in date, plus one day if the check-in time of day is later than the check-out time of day. The minimum is one day.

6. Late check-in

6.1 You have a grace period of 1 hour after the agreed check-in time. A check-in within that hour costs nothing extra.

6.2 If check-in takes place more than 1 hour after the agreed check-in time, we charge one extra day at the average daily rate of your rental (the rental amount in Part A divided by the number of rental days, without delivery, cover, young driver or out-of-hours fees). That extra day covers the first 24 hours after the agreed check-in time. Your chosen cover continues for that time at no extra charge.

6.3 Each further 24 hours started after that is charged as another day in the same way. If check-in is more than 24 hours late without an agreed extension and we cannot reach you, we may report the car to the police.

7. Extending the rental

7.1 If you want to keep the car longer, tell us before the agreed check-in time. We can extend only if the car is free.

7.2 An extension is valid once we confirm it to you in writing (WhatsApp, SMS or email are enough). Until then, the original check-in time and section 6 apply.

7.3 The extra days are charged at our current daily rate for those dates, plus your cover and any young driver fee for those days. We tell you the amount before you agree, and it is paid at check-in.

8. Price, VAT and payment

8.1 All prices are in euros and include VAT at 17%, the reduced rate that applies on Kos. Part A shows the net amount, the VAT and the total.

8.2 The total in Part A covers the rental, delivery and collection fees, any out-of-hours fee, cover and young driver fees. Charges that arise at check-in (fuel, late check-in, cleaning, the fines admin fee, and damage under section 9) are added in Part A at check-in and listed separately.

8.3 You pay the total in Part A at check-out, in cash or by card, and we record which method you used. We take no deposit, no online payment and no card details. Charges added at check-in are paid at check-in, in cash or by card.

8.4 We issue the legal receipt at check-out, at the moment you pay. If there are charges at check-in, we issue a second receipt for those charges only. A fine or other charge that reaches us later is billed to you with its own receipt.

9. Cover for damage to the car

9.1 Every car has the third-party liability insurance required by Greek law; the insurer and policy are shown in Part A. The cover packages below are not insurance: they limit what you pay us if the car itself is damaged.

9.2 You choose one of two packages, shown in Part A:

Basic cover Full cover
Price included, €0 per day €20 per rental day
Your excess (the most you pay per incident for damage to the car, outside the exclusions) €1,000, except the underside of the car (9.5) €0, except the underside of the car (9.5)

9.3 Under Basic cover you pay the cost of repairing damage to the car up to €1,000 per incident. Tyres, wheels, glass, lights and mirrors are not included under Basic cover: you pay the actual cost of repairing or replacing them.

9.4 Under Full cover you pay nothing for damage to the car, including tyres, wheels, glass, lights and mirrors.

9.5 The underside of the car (floor, sump, exhaust and suspension) is not covered by Basic cover or by Full cover, and damage to it is not limited by the excess. Under both packages you pay the actual cost of repairing the underside, shown by the repairer's invoice or written estimate.

9.6 Under both packages, you pay the full cost of damage, loss and towing if:

  • the driver was under the influence of alcohol, drugs or medicines that impair driving, or refused a test;
  • the car was driven by a person not named in Part A;
  • the car was driven off-road, on unpaved tracks, beaches or sand;
  • the car was taken on a ferry or off Kos without our written consent;
  • the damage resulted from a use forbidden in section 11, from the wrong fuel, or from deliberate or grossly negligent driving;
  • the car was stolen because the keys were left in or near it;
  • an accident was not reported as section 15 requires.

9.7 Lost, damaged or locked-in keys are dealt with under section 14 under both packages.

9.8 Whenever you pay for damage, you pay the actual repair cost, shown by the repairer's invoice or written estimate, which we give you together with the photos taken at check-out and at check-in. We do not charge for loss of use of the car.

10. Fuel

10.1 Fuel is same-to-same: please return the car with the same fuel level as at check-out, shown in Part A.

10.2 If the level at check-in is lower, we charge €10 for each missing eighth of a tank plus a refuelling service fee of €15, charged once. If the level is the same or higher, there is no charge, and no refund for extra fuel.

10.3 Use only the fuel type shown in Part A and on the fuel cap. Damage caused by the wrong fuel is not covered (section 9.6).

11. Use of the car

11.1 Drive only on paved public roads on the island of Kos, with care and in line with Greek traffic law.

11.2 You must not:

  • take the car on a ferry or off Kos without our prior written consent;
  • drive off-road, on beaches, sand or unpaved tracks;
  • race, test speed or take part in any competition;
  • carry passengers or goods for payment, sublet or lend the car;
  • tow or push any vehicle or trailer;
  • carry more people than there are seat belts, or overload the car;
  • drive under the influence of alcohol, drugs or medicines that impair driving;
  • use the car for any unlawful purpose or for driving lessons;
  • smoke in the car;
  • carry animals, unless we have agreed to it in advance; agreed pets must travel in a carrier or on a seat cover.

11.3 Park legally, lock the car, close the windows and take the keys with you whenever you leave the car.

12. Traffic and parking fines

12.1 You are responsible for all traffic, parking and other fines incurred during the rental.

12.2 If an authority contacts us about a fine, we may give it your name and licence details as the driver, as the law allows. If we have to pay or process the fine, we charge you the fine and an admin fee of €25 per fine.

12.3 If a fine reaches us after check-in, we send you a copy of the notice and our bill, with its own receipt.

13. Cleaning

13.1 Please return the car reasonably clean inside. Normal dust and a little sand are fine.

13.2 If the car needs more than a normal clean at check-in (for example heavy sand, mud, stains, spilled food or drink, vomit, animal hair or a smell of smoke), we charge a cleaning fee of €30. We show you the reason with photos.

14. Keys

14.1 Please look after the keys. If a key is lost or damaged, or locked inside the car, you pay the actual cost of a replacement key or of opening the car, as shown on the supplier's receipt. We deliver a spare key to you without a call-out charge. This is not covered by either cover package.

15. Accidents, breakdowns, theft and towing

15.1 If there is an accident, damage, theft or breakdown:

  1. Make sure everyone is safe. Call 112 if anyone is hurt.
  2. Call us immediately on +30 697 828 2619, and in any case within 12 hours.
  3. Call the police (100) if anyone is injured, if another vehicle or property is involved and the other driver will not sign a joint accident statement, if the other driver leaves, or if the car is stolen or broken into. Ask for the police report number.
  4. If another vehicle is involved, complete and sign the European Accident Statement with the other driver, and note their plate, insurer and contact details and any witnesses. Take photos.
  5. Do not admit fault or agree to pay anyone on our behalf.
  6. Do not arrange repairs or towing yourself unless we agree. For roadside help, call us on +30 697 828 2619 and we will arrange it.

15.2 If the car breaks down through no fault of yours, we deliver a replacement car to you of the same or a similar category as soon as we reasonably can. If we cannot, we refund the rental for the unused days. Either way, you pay nothing for the breakdown.

15.3 If towing or recovery is needed because of your fault or a breach of this agreement (for example an empty tank, the wrong fuel, lost keys or off-road driving), you pay the actual towing cost, as shown on the receipt of the towing company.

16. Payment of later charges

We take no deposit. By signing, you agree to pay any charge due under this agreement (fuel, late check-in, cleaning, fines and the admin fee, keys, towing, and damage under section 9) at check-in or, if it is billed later, within 14 days of receiving our written bill with the supporting evidence.

17. Cancellation and no-show

17.1 You pay only at check-out, so you can cancel free of charge at any time before check-out. Please tell us as early as you can by WhatsApp or email, so we can offer the car to someone else.

17.2 We wait for you for 60 minutes after the agreed check-out time. For a check-out at the airport with a flight number, we wait until 60 minutes after your flight actually lands. If you are not there within that time and we cannot reach you, the booking is treated as a no-show and is cancelled. A no-show costs you nothing, but we may decline future bookings from you if you did not tell us.

17.3 If we have to cancel, for example because the car is damaged, we tell you as soon as possible and try to offer you another car. You owe nothing.

18. No 14-day right of withdrawal

The EU 14-day right of withdrawal for contracts made at a distance does not apply to car rental for specific dates (Article 16(l) of Directive 2011/83/EU, as implemented in Greek consumer law, Law 2251/1994). You can still cancel free of charge before check-out, as set out in section 17.

19. Your personal data

19.1 We use your personal data (contact details, booking details, driver and licence details, passport or ID number, photos of the car, your signature and the technical details recorded when you sign) to make and carry out this agreement, to meet our tax and legal obligations, and to deal with damage or fines. We record document numbers only and do not copy your licence, passport or ID.

19.2 We keep tax and accounting records for 5 years. We keep licence and ID numbers, car photos and the signature record for 12 months after check-in, or longer only while a damage or fine claim is open.

19.3 Full details, including your rights and how to contact us or the Hellenic Data Protection Authority, are in our Privacy Notice: /fr/privacy.

20. Electronic signature and your copy

20.1 You sign this agreement electronically, on your phone or ours, through a one-time link valid for 24 hours. This is a simple electronic signature under Regulation (EU) No 910/2014 (eIDAS), and you agree that it binds you in the same way as a handwritten signature on paper.

20.2 When you sign, we record the full name you type, the signature you draw, the date and time, the IP address and browser details of your device, and the version and SHA-256 fingerprint of these terms. We keep a fixed copy of the agreement exactly as you signed it, which cannot be changed afterwards.

20.3 You sign at check-out, before you drive away. Right after you sign, we send you the signed agreement as a PDF by email or WhatsApp. Please keep it with you while you drive, on your phone or printed; the police may ask to see it. We give you a printed copy on request.

21. Complaints and disputes

21.1 If something goes wrong, please tell us first on +30 697 828 2619 or at info@olympianrentals.gr. We reply within 14 days.

21.2 As a consumer you may also turn to the Hellenic Consumer Ombudsman (Συνήγορος του Καταναλωτή, www.synigoroskatanaloti.gr), an independent authority for out-of-court resolution of consumer disputes.

21.3 Greek law governs this agreement, and the courts of Kos have jurisdiction. This does not take away any mandatory right you have as a consumer, including the right to bring proceedings in the courts of the EU country where you live.

22. Final provisions

22.1 If any term is found invalid, the remaining terms stay in force.

22.2 Changes to this agreement are valid only if we both agree to them in writing; WhatsApp, SMS or email are enough.
